These Terms & Conditions apply to all guests attending retreats hosted at Iscoyd Park. By making a booking, you agree to the following terms.

1. BOOKING & PAYMENT
A non-refundable deposit is required to secure your place on the retreat.
The remaining balance must be paid in full no later than 6 weeks prior to the retreat start date. Failure to complete payment by the due date may result in cancellation of your booking and loss of deposit.
All prices are quoted in GBP (£).
Bookings are non-transferable without prior written agreement from the retreat organisers.

2. CANCELLATION POLICY
All cancellations must be made in writing via email. If you cancel your booking:
• More than 6 weeks before the retreat start date: any monies paid beyond the deposit will be refunded.
• Between 4–6 weeks before the retreat start date: 50% of the total retreat fee will be retained.
• Less than 4 weeks before the retreat start date: payments are generally non-refundable unless your space can be refilled.
If you are unable to attend, you may request to transfer your place to another guest subject to prior written approval from the retreat organisers.
As spaces are limited and retreats are carefully planned in advance, exceptions to the cancellation policy cannot usually be made.
We strongly recommend that all guests obtain comprehensive travel insurance covering cancellation, illness, injury, travel disruption and personal belongings.

3. RETREAT CANCELLATION OR CHANGES
In the unlikely event that the retreat must be cancelled, postponed or significantly changed due to unforeseen circumstances, including but not limited to severe weather, government restrictions, venue issues, illness, force majeure events or insufficient participant numbers, guests will be offered either:
• a full refund of monies paid, or
• the option to transfer their booking to a future retreat date.
   
 The organisers reserve the right to make minor changes to the retreat schedule, activities, teachers, treatments or accommodation where necessary.
The organisers shall not be liable for any additional costs incurred by guests, including travel or accommodation expenses outside of the retreat booking itself.

4. HEALTH, WELLBEING & PARTICIPATION
Guests are responsible for ensuring that they are physically and medically fit to participate in retreat activities including yoga, movement, wellness sessions and outdoor activities.
Any relevant medical conditions, injuries, allergies, dietary requirements, pregnancy or health concerns must be disclosed prior to attendance.
Participation in all activities is voluntary and undertaken at your own risk. Guests are encouraged to work within their own limits and seek appropriate medical advice where necessary.
The retreat organisers, instructors and venue do not provide medical advice, diagnosis or treatment.

5. LIABILITY
While every reasonable care will be taken to ensure guest safety and comfort, attendance and participation in retreat activities is entirely at the guest’s own risk.
Iscoyd Park and the retreat organisers accept no responsibility for:
• loss, theft or damage to personal belongings;
• travel delays or disruptions;
• injury or illness sustained during the retreat except where caused by proven negligence.
Nothing within these Terms & Conditions excludes liability for death or personal injury caused by negligence or any other liability that cannot be excluded under UK law.

6. ACCOMMODATION & PROPERTY
Guests are expected to treat the venue, accommodation and surrounding property with care and respect at all times.
Any damage caused by a guest may be charged to the individual responsible.
Guests must comply with any reasonable requests made by the venue or retreat organisers regarding health, safety and considerate behaviour.

7. FOOD & DIETARY REQUIREMENTS
Where meals are provided, every effort will be made to accommodate dietary requirements and allergies where notified in advance.
    
 However, we cannot guarantee an entirely allergen-free environment.
Guests remain responsible for managing their own dietary and medical needs during the retreat.
Please notify us of any dietary requirements or allergies at the time of booking, or no later than 10 days before arrival.

8. PHOTOGRAPHY & PROMOTIONAL CONTENT
Photographs and videos may occasionally be taken during the retreat for promotional and marketing purposes.
If you would prefer not to appear in any images or content, please notify the retreat organisers in writing prior to the retreat.

9. GUEST BEHAVIOUR
We aim to create a safe, respectful and relaxing environment for all guests.
The organisers reserve the right to ask any guest behaving in a disruptive, unsafe, inappropriate or abusive manner to leave the retreat without refund.

10. GOVERNING LAW
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
By booking onto the retreat, guests confirm that they have read, understood and agreed to these Terms & Conditions.

11. PARTICIPANT HEALTH & WELLNESS DECLARATION
As part of your retreat attendance, all guests will be required to complete and return a Participant Health & Wellness Declaration Form prior to arrival.
This form enables us to gather important health, medical, dietary and emergency contact information, helping us to provide a safe and supportive retreat experience for all guests.
By attending an Iscoyd Wellness retreat, you acknowledge that you will be asked to confirm that:
You are physically and medically fit to participate in retreat activities.
You understand that participation in yoga, movement, wellness and outdoor activities involves inherent risks.
You agree to participate responsibly and within your own physical limits.
You will inform the organisers of any changes to your health prior to the retreat.
You understand that the organisers and instructors do not provide medical advice or treatment.
You accept responsibility for your own health and wellbeing during the retreat.
Completed declaration forms must be returned before the retreat start date. Failure to provide the required information may affect your ability to participate in certain activities.

12. PRIVACY NOTICE (GDPR)
HOW WE USE YOUR INFORMATION
Iscoyd Park is committed to protecting your privacy and handling your personal information responsibly. The information collected during the retreat booking process is used solely for:
• processing and managing your booking;
• communicating important retreat information;
• managing dietary , health and accessibility requirements;
• ensuring the safety and wellbeing of guests during the retreat.
    
 We will only retain personal information for as long as necessary for administrative, legal or insurance purposes.
Your information will never be sold to third parties.
Where necessary, relevant information may be shared confidentially with retreat instructors, caterers or emergency services for health and safety purposes.

13. RETREAT INFORMATION & GUEST GUIDELINES

ARRIVAL & DEPARTURE
Please arrive during the designated check-in window provided prior to the retreat. Check-out times must be respected to allow venue preparation.

WHAT TO BRING
We recommend bringing:
• Comfortable clothing suitable for yoga and movement
• Warm layers and outdoor footwear
• T oiletries and personal essentials
• Water bottle
• Journal or notebook
• Swimwear (if applicable)

MOBILE PHONES & QUIET SPACES
We encourage guests to minimise phone use during retreat activities to help maintain a peaceful and restorative atmosphere.
Please be mindful and respectful of fellow guests throughout your stay.

FOOD & ALLERGIES
Please notify us in advance of any dietary requirements or allergies (no later than 10 days before arrival).
While every effort will be made to accommodate requirements, we cannot guarantee an entirely allergen-free environment.
    
 WELLBEING
Guests are encouraged to participate at their own pace and honour their own physical and emotional wellbeing throughout the retreat.
Rest is always encouraged.

Iscoyd Park is a historic family venue and we kindly ask all guests to treat the property, furnishings and grounds with care and respect.
